Job Overview & Responsibilities

The Sales Support Specialist is responsible for providing administrative and operational support for a sales team, working efficiently and effectively in a fast-paced sales environment. This role entails preparing sales reports, handling customer inquiries, maintaining sales and marketing materials, and assisting with creating presentations. The Sales Support Specialist will also support administrative sales activities to include scheduling appointments, meetings and making travel arrangements for the sales team, entering customer data into the CRM, processing sales leads, and coordinating post-sales activities. This role regularly interacts with the sales team and other teams in the organization to ensure operational and customer service excellence.

 

Responsibilities

  • Assist the sales team with day-to-day administrative tasks, including preparing sales documents, proposals, and contracts.
  • Handle customer inquiries, provide product information, and process orders.
  • Coordinate communication between the sales team, clients, and other internal departments.
  • Manage and update customer accounts, ensuring accurate and up-to-date information in the CRM system.
  • Support the sales team with scheduling appointments, meetings, and travel arrangements.
  • Prepare sales reports, track performance metrics, and assist in forecasting.
  • Maintain and organize sales materials and marketing collateral.
  • Process and follow up on sales leads and opportunities.
  • Ensure a seamless flow of information between the sales team and other departments, such as marketing and customer service.
  • Assist in preparing presentations, proposals, and sales quotes.
  • Coordinate post-sales activities, including order fulfillment and customer feedback.
  • Manage sales order tracking and ensure timely deliveries and issue resolution.
  • Support the sales team by attending sales conferences.  
  • Other duties as assigned. 

Qualifications

Minimum Requirements

  • High school diploma or equivalent required.
  • 5 years of general work experience with minimum of 2 years of administrative support experience in sales or customer service environment.
  • Experience working with sales and marketing software tools, such as Salesforce CRM.

Knowledge / Skills / Abilities (KSAs)

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Salesforce CRM software.
  • Ability to prioritize and organize competing priorities with minimal guidance and supervision.
  • Excellent oral and written communication skills.
  • Ability to convey information in a clear and concise manner verbally and in writing.
  • Ability to collaborate within a team and other departments across the organization.
  • Strong time management and self-management skills.
  • Attention to detail and accuracy in work product.
  • Ability to work independently under general guidance and supervision, following department standards and procedures.
  • Ability to solve moderately complex issues with minimal guidance and supervision.
  • Ability to multitask and work on different projects or tasks
  • Knowledge of sales processes and basic business operations.
